Introduction and Challenge

Triple Whale is a marketing tool for direct-to-consumer brands in the ecommerce space. They help companies measure the effectiveness of their online marketing by easily managing and automating analytics, attribution, merchandising, forecasting and more.

Triple Whale was using QuickBooks for their parent company, but their Israeli subsidiary was on a different accounting software. They had major challenges consolidating their data across the company.

“Having data in different systems made it time-consuming to find the information we needed and forced us to consolidate manually, slowing down our monthly closing, said Bennett Gualdoni, controller at Triple Whale. “Consolidating manually made it difficult to dive into the details and analyze our subsidiary’s finances, such as locating missing data and identifying spending patterns. I was looking for an ERP system that could increase our efficiency and provide better visibility into the entire company’s financials for myself and our owners.” added Bennett.

NetSuite Cloud ERP

Triple Whale knew they needed to move to an ERP solution where they could run their entire company on one system, and they turned to KES Systems Solutions (KES) to guide them. “KES did an excellent job explaining how NetSuite would benefit our business by increasing efficiencies, especially with our international subsidiary,” said Bennett.

Consolidated Reporting Automation

“After implementing NetSuite, we immediately saw efficiency improvements with month-end closing and financial reporting,” said Bennett. “KES personalized reports for us in NetSuite, which saved us considerable time with our monthly reporting requirements in Israel. Before NetSuite, an Israeli employee spent 6-8 hours manually creating our monthly financial reports, but now, with NetSuite, our employee runs those reports in 15-30 minutes,” Bennett added.

Currency Conversion

“NetSuite seamslessly handles currency conversion from ILS to USD, so we can feel confident our financial data is correctly translated when we consolidate our company’s and Israeli subsidiary’s financials,” said Bennett.

“When we were looking for an ERP, KES did an excellent job explaining how NetSuite would benefit our business by increasing efficiencies, especially with our international subsidiary. Before NetSuite, Triple Whale didn’t have a formal accounts payable approval process. “We were wasting valuable time trying to track down department heads to get invoice approval and there was confusion around who should be approving which invoices based on dollar amount,” said Bennett.

While implementing NetSuite, Triple Whale signed up for the KES A/PToolkit — a KES Extension for NetSuite designed to increase efficiency and eliminate manual tasks for accounts payable teams. “With the A/P Toolkit, we now have a solid process in place for approving invoices. The A/P Toolkit’s email automation tool allows us to easily get approvals and speeds up our accounts payable process,” said Bennett.

Implementation and Beyond

“I’m a big fan of the KES team. They were very responsive throughout the entire implementation. They effectively communicated who was responsible for each piece and set up weekly check-ins. They really listened to our needs and provided valuable solutions. No matter the ebbs and flows from us, they responded quickly and solved our problems,” said Bennett.

“When we were on QuickBooks and another accounting software, I dreaded month-end closing because it required a significant amount of my time. But now, NetSuite and the KES A/P Toolkit have freed up much of my time to focus on higher-level items and eliminated the need for us to hire an additional full-time employee,” said Bennett.

Ongoing Support

After implementation, Triple Whale signed up for a KES Customer Care Plan. “We’ve used the customer care plan to get help efficiently extracting the data we need from NetSuite. KES helped us run custom reports and build custom work flows. We have regular status meetings to discuss ongoing projects, and they provide training for both new and existing employees to fully utilize NetSuite’s capabilities,” said Bennett.
